Following Up on Prospective Students: Don't Let Applicants Vanish Into a Notebook

Manage pesantren admission prospects with follow-up tasks: every applicant gets an owner, a due date, and a status until they decide.

Admissions marketing works: the online form fills up, phone calls and WhatsApp messages come in. Then what? At many pesantren, a prospective student’s journey ends in a staff member’s notebook: the phone number is recorded, the enrollment intention stalls, and two months later the parent has already enrolled their child at the pesantren that called back first.

A prospect is a task, not a note

An applicant who has not paid the registration fee is not dead data. The prospect is a task with a deadline: “call Mr. Ahmad this week”, “send the brochure on WhatsApp”, “remind them about the selection test on the 15th”. As long as that task has no owner and no due date, it never gets done, and the prospect leaves without anyone noticing.

The outcome flows back the same way: an accepted prospect’s status changes to student, and the record continues into the academic module without re-typing. That is the payoff of managing prospects in the same system as the pondok’s data instead of a separate book.

Habits that keep the pipeline alive

  • Every new prospect gets its first task the same day: a welcome call or an opening WhatsApp message.
  • No task without an owner: if the staff member holding it is away, the task moves; it never sits.
  • Close tasks with notes: “called, parent asked to follow up next month” beats a blank completed status.
