7 Tips to Increase New Student Enrollment at Your Pesantren

Seven practical steps to raise pesantren admissions: an always-open application form, fast follow-up, tidy open houses, and a checkout without friction.

Falling application numbers do not always mean weak marketing. Marketing often runs fine while the process leaks: the form is hard to reach, applicants never get a call back, or the re-enrollment step is enough hassle that parents pick another school. The seven tips below fix the process from first touch to final payment.

1. Keep applications open all year

Do not wait for admissions season to open the form. Parents reassigned to a new city, a student switching pesantren, a family that just decided on boarding school: they arrive whenever they arrive. An online application form that stays live catches them at the moment of need, not just when the committee is on duty. Every off-season applicant is a prospect nobody has to fight over.

2. Reply in hours, not days

Parents usually contact two or three pesantren at once. The one that calls first feels serious; the one that answers two days later has already lost without a rejection. Apply one simple rule: every new applicant gets a first contact the same day. The follow-up module helps here, because every prospect carries an owner and a due date instead of being a phone number in a notebook.

3. An open house whose registration is as easy as sharing

An open day is the most honest sales pitch a pesantren has: parents see the dorms, eat together, and ask directly. The lever is at registration. Use the same form as admissions for attendee sign-up, share the link in school and community WhatsApp groups, and let every registered contact flow into the same follow-up list. After the event, call each attendee individually, not just through a public post.

4. Collect parent stories while they are warm

A parent delighted by their child’s progress is the best unpaid marketer. Ask for two paragraphs or a short video whenever there is an achievement or good news, then show it on the website and in promotional material. This is part of the broader strategy in promoting a pesantren in the digital era: evidence persuades where claims cannot.

5. Cut the steps out of re-enrollment

Many applicants vanish at the finish line: the form is done, but re-enrollment demands a trip to campus, a queue, and cash in an envelope. Simplify it: send a digital bill payable by QRIS from a phone, receipt included. The same QRIS billing used for monthly tuition can carry the entry fee, so parents finish everything without leaving home.

6. Watch the funnel, not the feeling

“This year felt busy” is not data. Track four simple numbers across the season: forms filled, tests taken, passed, re-enrolled. Follow-up task statuses produce these numbers almost automatically, since every prospect moves from open to closed with dates. With the numbers in hand, next year the pondok knows which step leaked: many sign-ups but few passes points at selection or communication, not marketing.

7. Take care of those who did not make it this year

An applicant who was not accepted, missed the test, or postponed over cost is not a stranger. Keep them as contacts with the reason noted, then reach out next season or when a scholarship opens. Contact statuses in e-pondok support exactly this: from prospect to alumni, relation, or next-year candidate. A tended prospect list is an admissions asset that appreciates every year.

Start with the biggest leak

These seven tips do not need to launch together. Check your funnel first: where do most applicants drop? Fix that leak, measure, then move to the next one.

All of it, from the online form to follow-ups and digital billing, runs in one place in e-pondok. See the module on the Admissions page or start a subscription before the next enrollment season begins.

Fees collected, parents at ease

SPP invoices go out automatically, parents pay by QRIS or virtual account, and overdue reminders run themselves over WhatsApp. Attendance, academics, and student records stay tidy in the same system.
